Operations Coordinator

We are seeking a highly organised and proactive Operations Coordinator to support the day-to-day operational activities of the business. The role will be responsible for coordinating sales administration, stock control, export documentation, logistics management, ERP system administration, and customer service activities to ensure smooth and efficient business operations. The successful candidate will work closely with internal departments, suppliers, warehouses, freight providers, and customers to maintain high service levels and operational excellence.

Key Responsibilities

Coordinate daily operational activities to ensure efficient order processing and fulfilment.
Process customer orders accurately and efficiently through ERP systems.
Generate quotations, sales orders, invoices, credit notes, and other customer documentation.
Monitor stock levels and maintain accurate inventory records within ERP systems.
Track inventory movements, stock adjustments, and replenishment requirements.
Liaise with warehouse teams to investigate stock discrepancies and implement corrective actions.
Produce stock reports and forecasts to support planning and procurement activities.
Monitor product shelf life and minimise risks associated with aged or obsolete stock.
Support ERP system improvements, testing, and implementation projects.
Prepare export documentation including commercial invoices, packing lists, certificates, and customs paperwork.
Ensure compliance with export regulations, customs requirements, and international trading standards.
Coordinate domestic and international shipments with freight forwarders, hauliers, and logistics partners.
Track shipments and provide customers with delivery updates.
Work closely with warehouse teams to ensure accurate and timely dispatch of goods.
Deliver exceptional customer service by handling enquiries, complaints, and order-related issues.
Build strong relationships with customers, suppliers, logistics providers, and internal stakeholders.
Support with reporting and process improvements

Key Skills

Previous experience in an Operations Coordinator, Sales Administrator, Customer Service, Logistics, Export, or Supply Chain role.
Strong knowledge of stock control and inventory management processes.
Experience using ERP systems for order processing and inventory management.
Knowledge of export documentation and international shipping procedures.
Excellent administrative and organisational skills.
Strong Microsoft Excel skills, including reporting and data analysis.
Ability to manage multiple priorities in a fast-paced environment.
Excellent communication and stakeholder management skills.
