Privacy Policy
Hiredonline Ltd is registered in England and Wales under company number 05041856 and we have our registered office at 23 Meddins Lane, Stourbridge, West Midlands, DY7 6BZ. Our VAT number is GB 834887089.
We operate an online job portal with the aim of providing a place for work seekers to find and apply for job opportunities advertised by recruiters. Our website is hiredonline.co.uk along with associated subdomains such as recruiters.hiredonline.co.uk.
We take data protection very seriously and understand the importance of protecting your privacy and Personal Information. Personal Information is information that identifies you as an individual such as your name, date of birth, email address and CV.
What and how do we collect information from you?
We collect the majority of your Personal Information when you give us your CV, cover letter, complete application forms, complete registration forms or set up job alerts on our website.
Every device that accesses the internet uses an internet protocol (IP) address. This does not identify you by name, but it can be used to recognise a device or connection. We may collect your IP address for security, fraud prevention, and website operations.
We may also collect information through cookies and similar technologies (see Cookies below).
We collect Personal Information to provide and improve our services.
When you apply for a job advertised by a recruiter on our website, you may be asked specific questions relating to that job application. This information will be collected by us, shared with the recruiter, and used only for the purpose of that specific job application.
Legal basis for processing your Personal Information
Consent
There are occasions when we process your data with your consent. You have the right to withdraw your consent at any time.
Examples include:
- Job alerts (you choose to set these up and can stop them at any time)
- Marketing emails (where you have opted in)
- Cookies for analytics and marketing, such as Google Analytics and the Meta Pixel (see Cookies section)
Where consent is the only legal basis, we will stop processing when you withdraw consent.
Contract
We process data to fulfil a contract with you. For example, when you apply for a job and we send your CV/application to the recruiter advertising that role.
Legitimate interests
We may process data where it is necessary for our legitimate interests (or those of a third party) unless there is a good reason to protect your personal data which overrides those interests.
Examples can include:
- keeping the website secure
- preventing fraud/abuse
- improving the stability and performance of the platform
We rely on legitimate interests to process and evaluate job applications, including the use of automated tools to assist with application review, provided such processing does not override the rights and freedoms of the individual.
Who do we share your Personal Information with?
Recruiters and agents
We make your Personal Information available to recruiters, agents, business partners and other intermediaries with the aim of helping you gain work. This will typically occur when you apply for a role, or where you have chosen to make your profile searchable (if that feature is enabled on your account).
Service providers to Hiredonline
We use third-party providers who help us run the platform and deliver services. This can include:
- IT and hosting providers
- email delivery providers (for job alerts and account emails)
- analytics and tag management providers such as Google Tag Manager and Google Analytics
- marketing measurement providers such as the Meta Pixel (Meta Platforms, Inc.)
- security/performance tools (for example, services that detect abuse or improve load speed)
These providers are only permitted to process data on our instructions (where applicable) and for the purposes we specify.
Government authorities and legal claims
We may share Personal Information with governmental or other public authorities where necessary to comply with law, legal process, or to protect our rights, privacy, safety or property, and that of you or others.
Third parties
We will only share your Personal Information with third parties under contract, or where you have given your consent to do so.
What do we do with your Personal Information?
By using our website it is understood that work seekers are actively soliciting contact from prospective recruiters regarding work opportunities. If you are a work seeker, we will make your personal data available to recruiters and employers who use the website to find suitable people for roles they are seeking to fill (in line with your account settings and activity, such as applying for a role).
Use of automated processing and AI Tools
We may use automated tools, including artificial intelligence (AI) systems, to assist in reviewing and ranking job applications.
These tools are used to:
- Analyse CV content
- Compare applications against job requirements
- Generate relevance scores or summaries
- Assist recruiters in identifying suitable candidates
AI tools are used as a decision-support mechanism only. Final decisions regarding applications are always made by a human recruiter or hiring manager.
Where we use third-party technology providers to assist with automated analysis, such providers act as data processors under contract and are subject to appropriate data protection safeguards.
Where personal data is processed outside the United Kingdom or European Economic Area, we ensure appropriate safeguards are in place, including Standard Contractual Clauses or equivalent lawful transfer mechanisms.
Applying for a job on a third-party website
(for example via job boards such as Totaljobs, CV-Library, Reed etc.)
If you apply to a job advertised by Hiredonline on a third-party website, we will forward your CV immediately to the recruiting company advertising the opportunity with us. The recruiting company then becomes responsible for processing your application, including holding and sharing your personal data.
Our legal basis for forwarding the application is legitimate interests, based on your clear action of applying for the job.
You can contact Hiredonline by email ([email protected]) and we will confirm the identity and contact details of the recruiting company.
Managing consent, updating or deleting your account
You can manage consent given to us and access your Personal Information by logging into your account. You may have access to a privacy dashboard where you can:
- update marketing consent and visibility settings
- unsubscribe from emails including job alerts
- delete your account
Emails we send based on consent include an unsubscribe link.
How long we keep your Personal Information
We keep your Personal Data for as long as is reasonably necessary to provide services to you.
You can delete your account at any time. We will delete job applications made by you after 365 days of you making the application.
If your account includes a profile that you have chosen to make visible/searchable by recruiters, and you do not access your account for 365 days, we may contact you to confirm whether you wish to keep that profile active. If we do not hear back after reminders, we may remove your searchable profile. If your profile is removed, you may still keep your account and continue to receive job alerts and apply for jobs.
Access and correction
You can request a copy of the information we hold about you at any time by sending your request to [email protected].
We want to make sure your information is accurate and up to date and are happy to amend or remove information you believe is inaccurate.
Cookies (including Google and Meta)
Cookies are small files placed on your device to help websites function and to collect information about visitor behaviour.
We use cookies and similar technologies for:
1) Essential / strictly necessary cookies
These are required for the site to operate (for example, keeping you logged in, security, load balancing, and core functionality). These do not require consent.
2) Analytics cookies (Google) – only with consent
If you agree, we use Google Analytics (typically via Google Tag Manager) to understand how people use our site (for example, pages visited, traffic sources, and site performance). This helps us improve the website.
3) Marketing cookies (Meta) – only with consent
If you agree, we use the Meta Pixel (Meta Platforms, Inc.) to measure the effectiveness of our advertising and understand actions people take on our site (for example, page views or application-related actions). This can involve Meta receiving information about your visit and actions, and may involve transfers outside the UK.
Changing your cookie choices
You can choose whether to accept or reject non-essential cookies via our cookie banner. If you later want to change your choice, you can do so by updating your cookie settings (for example, by clearing cookies in your browser and revisiting the site).
International transfers
Some providers we use (including Google and Meta) may process data outside the UK. Where this happens, we take steps designed to ensure appropriate safeguards are in place.
