Role: Part-Time Administrator

Location: City of Westminster

Contract Type: Permanent

Hours: Part Time - 3x days per week (normal working hours are from 09:00 to 17:00)

Hybrid: A blend of homeworking and office based

Benefits: 25 days annual leave + bank holidays (pro-rata)

Are you an organised and enthusiastic individual with a passion for providing administrative support? Our client, a dedicated organisation within the not-for-profit sector, is seeking a proactive Part-Time Administrator to join their team. This is an exciting opportunity to support the General Secretary and Executive Director in their mission.

Key Responsibilities:

Provide comprehensive administrative support, including diary management for senior leadership.

Monitor and prioritise email correspondence, ensuring timely responses.

Prepare routine correspondence and committee reports in collaboration with the Executive Assistant.

Ensure the General Secretary is well-briefed with relevant materials for meetings.

Welcome visitors to the office, fostering a positive and professional first impression.

Handle phone enquiries and in-person visits with an approachable demeanour.

Arrange, attend and minute meetings, either in person or via Teams and Zoom.

Coordinate travel, accommodation and catering as required for meetings.

Organise and maintain both electronic and paper administrative systems.

Provide reception cover in the absence of the Receptionist.

Key Requirements:

Experience in a senior administrative role, with examples of managing diaries and supporting leadership teams.

Excellent written and verbal communication skills, capable of conveying information clearly and professionally.

Proven experience in minute-taking at a senior executive level.

Proficiency in Microsoft Office applications, particularly MS Word and MS Excel.

A strong understanding of confidentiality and data protection.

A positive, can-do attitude and enthusiasm for working in a dynamic office environment.

The ability to follow instructions meticulously and maintain accuracy under pressure.

Self-motivation and the capacity to prioritise work effectively.

A commitment to collaborative working and flexibility with colleagues.
