Depot Administrator

Location: York
Contract: 6-Month Rolling Contract
Hours: 08:00 - 16:00 Mon - Thu ( 32 hrs a week )
Pay Rate: £13.87 per hour PAYE

About the Role

We are looking for an organised and proactive Depot Administrator to join our team based at our York depot. This is a varied administrative position that combines office administration and reception duties, providing essential support to the depot and helping ensure the smooth day-to-day running of the site.

This is an excellent opportunity for an experienced administrator who enjoys working in a busy environment and is comfortable managing multiple tasks while maintaining attention to detail.

Key Responsibilities

Administration

Data entry and maintenance of company records and databases.
Filing and document management.
Producing reports and updating spreadsheets.
Recording annual leave, overtime and Euroleave information.
Booking employee training courses and maintaining training records.
Raising purchase orders and processing expenses.
Supporting the ordering and tracking of PPE, tools and other depot supplies.
General administrative support to the depot management team.

Reception & Front of House

Answering and directing incoming telephone calls.
Managing shared email inboxes and responding to enquiries.
Greeting visitors and ensuring appropriate site sign-in procedures are followed.
Logging incoming and outgoing post.
Arranging taxis and travel requirements when needed.
Booking meeting rooms and coordinating meeting arrangements.
Ordering stationery and maintaining office supplies.

Skills & Experience

Essential

Previous experience in an administrative and/or receptionist role.
Strong organisational skills with excellent attention to detail.
Good working knowledge of Microsoft Office applications, particularly Excel, Word and Outlook.
Confident communication skills, both written and verbal.
Ability to prioritise workload and manage multiple tasks effectively.
Reliable, professional and customer-focused approach.

Desirable

Experience raising purchase orders and processing expenses.
Experience maintaining staff records, training records or leave trackers.
Experience working within an operational, depot or logistics environment.

Additional Information

This is a site-based role, working four days per week from the York depot.
Standard compliance checks will apply.
Training will be provided for specific processes, including overtime and Euroleave recording.
Flexibility to work additional hours when required would be advantageous.
