Sales Quotation & Bid/ Tender Coordinator/ Administrator

Overview

An established business operating within a specialist equipment and solutions sector is looking to appoint a Sales Quotation & Bid Administrator/ Coordinator to join its commercial support team.

This position will play a key role in supporting customer pricing requests, managing tender opportunities, coordinating proposal submissions, and ensuring sales documentation is completed accurately and on time. The role requires strong organisational skills, attention to detail, and the ability to work with multiple departments to gather information and meet deadlines.

Our client offers a full-time, office-based position working 39 hours per week (8:30am to 5:00pm Monday to Thursday and 8:30am to 4:00pm on Fridays), 24 days' holiday plus bank holidays with increased entitlement for long service, a company pension scheme, life assurance, and genuine opportunities for training, development, and career progression.

Key Responsibilities

Produce customer quotations and commercial proposals.
Manage the administration of bid and tender opportunities from initial enquiry through to submission.
Review tender requirements and create submission plans to ensure deadlines are met.
Obtain pricing, technical information, and supporting documentation from relevant departments.
Ensure all customer submissions are accurate, complete, and compliant with stated requirements.
Maintain records of pricing activity, bids, and customer documentation.
Monitor procurement and sourcing platforms for suitable opportunities.
Analyse and record tender outcomes to support future business development activity.
Support the transfer of information to operational teams following successful contract awards.
Obtain supplier costs and compare available options to support competitive pricing.
Work closely with technical specialists to verify product specifications and configuration details.
Create and maintain a library of standard responses, supporting documents, and submission templates.
Provide wider administrative support to the commercial and customer-facing teams.

Candidate Requirements

Essential

Experience within a commercial support, customer support, contracts administration, quotations, tenders, bids, or sales coordination environment.
Strong administrative and document control capabilities.
Excellent organisational skills with the ability to manage several projects simultaneously.
High level of accuracy and attention to detail.
Confident written communication skills.
Good knowledge of Microsoft Office applications, particularly Excel and Word.
Ability to work effectively under pressure and to strict submission deadlines.

Desirable

Experience working with procurement frameworks and competitive tender processes.
Familiarity with online sourcing and tender management systems.
Experience using business management, CRM, or ERP software.
Previous exposure to engineering, manufacturing, automotive, plant, construction, or technical product environments.
