Customer Service Specialist

Our client based in Staines is seeking a proactive and detail-oriented Customer Service Specialist to join their busy Operations team. This is a fantastic opportunity to become part of a collaborative, international business where customer satisfaction is at the heart of everything they do.

Reporting to the Operations Manager, you will play a pivotal role in supporting customers, Regional Sales Managers, and Project Teams, ensuring orders are processed efficiently and delivered seamlessly across the UK, Europe, and the Middle East.

The Role

As a Customer Service Specialist, you will be responsible for managing the complete sales order cycle, from order receipt through to invoicing and reporting. You'll liaise with customers and internal stakeholders to ensure a smooth and positive customer experience while maintaining high levels of accuracy and efficiency.

Key Responsibilities

Process customer sales orders and projects from receipt through to invoicing
Manage order preparation, purchasing, logistics, shipping, customer repairs, and revenue recognition activities
Provide customers with regular updates on order status and delivery schedules
Liaise with international colleagues regarding technical product queries and order requirements
Work closely with suppliers and internal teams to ensure customer delivery expectations are achieved
Produce and distribute customer documentation including certificates, manuals, datasheets, and bespoke documents
Respond to customer and regional office enquiries via telephone, email, Teams, Zoom, and other communication channels
Support stock take activities and investigate discrepancies when required
Assist with customer account creation and amendments in collaboration with Finance and Commercial Operations teams
Support the Finance team with invoice queries and annual audit requirements
Manage customer mailboxes and ensure enquiries are responded to promptly
Update and maintain customer portals, including uploading documentation and delivery updates
Support additional operational projects and duties as required

What We're Looking For

Essential Skills & Experience

Previous experience in customer order management and sales order processing
Strong customer service background with a commitment to delivering excellent customer experiences
Proficiency in Microsoft Office applications
High level of numerical accuracy and attention to detail
Excellent written and verbal communication skills
Ability to manage multiple priorities and work effectively under pressure
Strong organisational skills with the ability to work independently and within a team environment
