Job Purpose

To deliver an exceptional workplace experience for employees and visitors while providing efficient administrative and operational support across the office. Acting as a key point of contact, you will ensure the smooth running of workplace services, meeting rooms, facilities, and administrative functions.

Key Responsibilities

Workplace & Customer Service

Act as the first point of contact for employees, visitors, and guests.
Deliver a professional and welcoming workplace experience.
Conduct regular floor walks to ensure office areas are clean, safe, and fully operational.
Monitor meeting rooms and ensure they are set up to the required standard.
Report and follow up on facilities, maintenance, and health & safety issues.
Support workplace events and visitor management.

Business Administration

Manage printing, scanning, photocopying, binding, filing, and archiving requests.
Coordinate couriers, taxis, meeting room bookings, and video conferencing requirements.
Process administrative requests including business card orders, document retrieval, and expense support.
Maintain accurate records and complete data entry tasks.
Provide general administrative support and complete ad hoc requests as required.

Teamwork & Communication

Work closely with internal teams and service providers to deliver a seamless service.
Communicate operational updates and escalate issues where necessary.
Support colleagues and demonstrate flexibility in meeting business needs.

Skills & Experience

Previous experience in office administration, workplace services, facilities, hospitality, or customer service.
Excellent communication and customer service skills.
Strong organisational skills with the ability to prioritise workloads.
Proficient in Microsoft Office applications.
Proactive, reliable, and able to work independently.
Professional, positive, and adaptable with a strong attention to detail.
