We’re looking for a Regeneration Administrator on a 2 year fixed term contract basis to provide administrative support to Regeneration colleagues (Regeneration Lead, Regeneration Coordinators and Regeneration Project Managers).

Reporting to the Regeneration Lead, you will work as a member of the wider regeneration team to assist with administration tasks on a range of regeneration housing projects. You will administer the procedures with regard to void homes, considering the health and safety aspects associated with empty properties. Arrange and monitor key tasks to ensure that the voids are safe and secure and can be demolished in a reasonable timescale by arranging asbestos demolition surveys, gas and electric meter removals and security fencing and void protection.

You’ll be raising / placing purchase orders on D365 finance systems and receipting orders following confirmation of good being received / services satisfactorily carried out, recording incoming invoices and processing for payment and maintaining costs information for each regeneration scheme. You’ll check council tax and utility bills and investigate queries in relation to invoices.

You’ll also be responsible for creating external mailing lists – customers, neighbours, stakeholders, interested parties for each regeneration scheme and maintaining with regular cross-referencing customer details to Active H to ensure details are accurate and up to date. Regularly preparing and mailing letters for general communications for each scheme – development surveys, ecology, arboriculture, ground investigation works and scheduling appointments for surveyors regarding customers/homeowners. Updating, printing and collating customer information packs and undertaking mail merges and mailing customer/resident letters for each regen scheme.

You will be helping customers by arranging disturbance items for customers (delivery of skips, fitting of carpets and arranging removals for customers). Sending new home cards and sending and receiving Home Loss Claim forms, distributing completed forms to relevant Regen colleagues upon receipt and monitoring and maintaining financial records of home loss/disturbance payments.

You will assist with updating regen files on SharePoint, support with scanning, filing and storage of documents on shared drives – particularly in relation to handovers of regen properties. We’ll want you to support the regeneration team by arranging and facilitating team and regeneration working group meetings for each scheme; preparing and circulating agendas and minute taking, ensuring action points are appropriately allocated.

As Regeneration Administrator, you will have:

Strong customer focus with a track record of successful delivery in an administrative service
Experience of providing a strong organised service to a range of colleagues and customers
Experience of working in a development or housing association setting is desirable but not essential.
Experience of working collaboratively, you will have experience of being a key part of a team.
Experience of working with a range of different stakeholders
Experience of working in a customer focused role with a solid track record of delivery in an administrative setting.
Good written, numeracy and verbal communication skills.
Organisation skills with the ability to juggle a varied workload
Confident in using emails, word, excel and other computer systems
A proactive and collaborative approach to the role
Ability to use own initiative and able to work independently but know when to escalate and seek advice
A flexible working attitude demonstrated reliability
