The Facilities Management & Logistics Department has four functional teams all working to ensure people can be their very best at work in safe, effective, and compliant workplaces, maintaining operational effectiveness, contributing to staff engagement and environmental performance. The four teams include Fleet, Maintenance, Facilities Management and Logistics.

We have an exciting opportunity for an organised and adaptable administrator to join the Logistics team based at St Martins Business Centre in Bedford. The team delivers a number of communications, logistics and fulfilment functions providing a range of essential operational services. Including end-to-end in-house print, bespoke mailings and distribution services, stock management, fulfilment, secure/ archive storage solutions and extensive UK and overseas post and parcel services. All delivered with cost effectiveness and efficiency at the core of meeting the internal client’s objectives. This could be an ideal internal secondment and development opportunity for anyone looking to gain experience in this area.

What’s the role about?

Reporting to the Facilities & Logistics Manager, you will play an important part in day-to-day site management matters. Health & Safety compliance and monitoring are at the heart of this, and duties will include ensuring compliance with appropriate codes of practice, managing remedial works and procurement, co-ordinating and carrying out reviews of Risk and CoSHH assessments and arranging relevant Health & Safety training.

Key to site operations, you will be responsible for ensuring our routine maintenance schedules, machinery and equipment servicing, and procurement needs are carried out to schedule and in compliance with appropriate standards. This includes fire and security systems and being a keyholder for the site. This involves site opening and closing duties and being on a list for out-of-hours calls outs.

You will line manage the Warehouse & Despatch Assistants ensuring they are supported and developed in their roles. Managing the day-to-day running of Despatch and Warehouse operations you will ensure Royal Mail and Parcelforce services are utilised appropriately, investigating and resolving problems and managing the accounts.

The role will act as Green Champion for the Logistics team, ensuring all compliance records, monitoring and processes are maintained to RSPB Environmental standards and in compliance with Green Dragon requirements.

Other duties include assisting the Facilities & Logistics Manager with budget monitoring and service level reporting.

What we need from you

Essential knowledge, skills, and experience:

* Extensive knowledge or Microsoft Office applications (especially Outlook, Word and Excel).

* Knowledge of document and team collaboration tools.

* Knowledge of budget management terminology and processes.

* Able to communicate effectively with a wide range of audiences whether by phone, email or in person.

* Able to make the best use of time particularly when under pressure from competing priorities, prioritising, and delegating tasks effectively, during periods of both low and high demand.

* Able to negotiate and influence effectively.

* Able to identify and act on opportunities for continually improving ways of working.

* Able to proactively identify and solve problems.

* Able to deal with confidential and sensitive information appropriately.

* Experience of providing administrative support within a large and complex organisation.

* Experience of office management and maintaining a safe working environment.

* Experience of providing dedicated personal administrative support to senior staff.

* Experience of managing and reporting financial information.

Desirable knowledge, skills and experience:

* At least two A-levels or equivalent qualifications.

* Knowledge of current conservation issues and priorities.

* Experience of complying with health and safety codes of practice.

* Experience of recruiting and line managing staff and/or volunteers.

* Knowledge of Royal Mail and Parcelforce services and systems.
