Sales Administrator
We are seeking to fill the position of a Sales Administrator – Part time – Two people.
Terriva Ltd is a small family-owned private company that designs and builds a range of high-quality equipment used for the manufacture of Pharmaceuticals and sells these under the brand name Pharmatech. The company has a reputation for high quality and innovative designs. We prefer applicants who have at least two years of professional Sales experience.
Sales Administrator role
Advising on the best equipment where and when possible.
Advising on possible solutions to problems when required.
Liaising with resident engineers as to find solutions to the customers.
Quotation generation as to formulate a Proposal to the Customer.
Acquire updated prices from fabricators / suppliers (consulting with our project engineers).
Complete costing sheets for products being quoted if required.
Working alongside the project engineers to ensure what is being quoted is possible and feasible and in line with the customer requirements.
Ensure quotation templates are up to date and the information is up-revved as required.
Send quotations through to customers and communicate any changes as required.
Order processing
Received customers purchase orders and check against quotation.
Create order in progress sheet (OIP)and communicate to the business.
Present the OIP to the manufacturing team
Check stock availability & acknowledge to customer receipt and anticipated dispatch schedule.
Create Invoice & delivery documentation.
Customers
Generally, keep the customer updated on the project plan and progress to the dispatch date.
Commercial aspects
Raising invoices for spares & stock items upon dispatch.
Raising staggered payment invoices on larger projects to an agreed customer payment schedule and monitoring these.
Chasing customer overdue invoice payments as and when required.
Keeping an ongoing watch on costs and negotiating variation orders where applicable.
Price Lists
Ensuring standard product price lists are kept up to date.
Updating SAGE accounting system with new prices when available.
Setting up new accounts and carrying out diligence checks where appropriate.
Sales Analysis
Maintain the sales analysis and review with management frequently.
Dispatching Documentation
* Working alongside the production manager, project engineer and technical documentation manager.
* Create the dispatch notes.
* Create the customs / commercial invoices that are used for transporting goods outside of the UK.
* Updating commodity codes when required.
* Declaration of origin documents from the chamber of commerce.
* Ensuring item weights are in the system for products being dispatched.
* Ensuring all technical and quality documentation is available.
Organization
* Working alongside the production manager and project engineer.
* Arranging collection for all goods being dispatched.
* Acquiring quotations for shipments from various freight forwarders.
* Provision of freight forwarders relevant information i.e. documents and customer details.
* Advising customer of booking details (AWB “air way bill” /BOL “bill of lading”) dependence on customer chosen method.
* Liaising with chosen freight agency for customs clearance instructions and checks.

Education and Experience
Degree diploma is preferable but not essential. - 2 years’ experience in a similar role would be an advantage.
Ideally the candidate should have a background in technical sales, preferably in the pharmaceutical manufacturing industry, but other highly regulated industries such as aeronautics, automotive or other high-quality engineering would be acceptable. The position will be a permanent part-time position covered by two people.
