Our client are a global brand, dedicated to making their customers look and feel amazing and styled for all occasions! They're established but growing, professional but fun, and we are actively lookng for a temporary Office Manager to join them ASAP to be based in their Central London offices, 5 days a week.

Job

We need someone to facilitate the smooth running of the London office, from ensuring they are operating with a health & safety-first mindset to liaising with all office services providers and suppliers.

The role details....

Office Management

Be the first point of contact to office service providers, including cleaners, pest control, maintenance, confidential and electrical waste collections.
Maintain basic office supplies, including stationary, refreshments
Raise PO's for all office supplies and services, ensuring budget is kept
Main point of contact with the building's facilities management and reception
Responsible for arranging courier and keeping DHL supplier stocked, and track / chase orders
Dealing with incoming post / parcels and distributes accordingly
Answers the visitor's phone, and ensures all visitors sign in and out
Ensure meeting rooms and communal areas are well kept and organised
Organises lunches, and refreshments for management and external meetings as requested
Assisting the EA with Administration
Health & Safety

Management of Health & Safety of the office, ensuring relevant risk assessments are completed in line with the advice from our H&S consultants.
Conduct regular health & safety audits of the office
Provide guidance to staff on safe working practices
Maintain the required number of fire aiders and fire marshals for the office
Keep first aid kits fully stocked
Conduct DSE assessments
Conduct new start H&S briefingsThe skills and qualities we need...

Proven background working as in an office/ facilities management role
The ability to work calmly and effectively in a fast paced environment without supervision to meet tight deadlines under pressure
Excellent organisation skills, with the ability to anticipate requirements and with the aptitude to prioritise own workload
A confident, assertive and resilient personality with a positive and proactive approach and the ability to build strong working relationships
Possess clear ability to work with pace, accuracy, discretion and professionalism
Excellent oral and written communication skills
Ability to multi-task whilst identifying key priorities on a daily basis
Strong attention to detail
Ability to negotiate and influence across client and supplier organisations.
Highly proficient in the use of MS Office systems- particularly Outlook, PowerPoint & Excel
