JOB DESCRIPTION

Job Title: Office Manager

Location: Canary Wharf

Contract: Permanent 37.5 Hours / Monday-Friday

Salary: 35k

Primary Responsibilities:

Office

Answering calls politely and efficiently
Routing calls as Screening calls. Taking and passing on messages
First point of Meet and greet all business clients and visitors
Inform the appropriate staff of client/visitor arrival
Manage boardroom bookings. Maintain the meeting room's diary and cupboard keys
Arrange temporary building security passes for visitors
Arrange catering for all meetings external and internal
Keeping the reception area and boardrooms neat and Reporting any faulty equipment
Retrieve incoming packages mail from Opening and distribution of mail
Providing general administrative support to all staff
Constant communication with administration
Responsible for the smooth running of the office
Responsible for office library, archiving, filing
Arranging E-Permits where applicable
Overseeing the office recycling

Stationery:

Responsible for the stationery contract and negotiating rates
Ordering all office stationery supplies
Replenishing stationery cupboard
Ensuring correct orders are delivered and returning of faulty or wrong orders
Liaising with accounts assistant regarding stationery invoices and credit notes

Office Equipment & I.T

First point of contact
Responsible for maintaining accurate records of contractors and inventory lists of all equipment
Back-up IT Support
Assisting with any office desk allocation and relocation
Printer and phone induction for all new employees
Responsible for office phones and liaising closely with CW regarding extension allocation and relocation, maintaining staff phone extension list and dealing with all phone issues
Responsible for assisting staff with any IT issues and liaising with IT department to get them resolved
Assistant staff with faulty IT equipment and replacements
Responsible for the office equipment maintenance agreements and contracts
Responsible for maintenance, servicing, repairs and replacement of all office equipment
Troubleshooting and assisting with all office equipment issues
Responsible for the water coolers; contract, orders, deliveries and servicing

Kitchen:

Liaising with the cleaner to ensure the kitchen is immaculate at all times
Replenishing of kitchen supplies, weekly fridge clean out
Ordering of all kitchen supplies (beverages, biscuits, cutlery, crockery)
Ensuring all kitchen equipment is working, maintained and serviced

Cleaner:

First point of contact
Responsible for the cleaning contract and rate charges
Liaise with cleaner and cleaning company for all cleaning issues
Arrange deep clean for the office every 6 months

P.A to Principals:

Screening calls and taking messages
Diary Management
Organising meetings and appointments and arranging lunches
Reminding the Principals of internal/external meetings and important tasks and deadlines
Arranging all office functions and events
Assisting in producing and copying reports and documents
Travel arrangements; flights/trains/accommodation/taxi/travel Visa's for Principals and Staff

Any other duties deemed appropriate to the position Qualifications and Abilities:

Excellent communication skills both verbal and written
Good customer service skills
A polite and friendly manner with good telephone skills
Strong efficiently and punctuality
Good working knowledge of MS Outlook, Word, Excel, Printers
Good organisation skills
