Job Title: Operations Administrator
Location: Taunton, Somerset
Salary: £20K - £25K Pro Rata
Hours: Ideally 8.45am - 4pm, Monday to Friday (37.5 hour week will be considered for the right candidate)

Sick payThe Role: You will be based Front of House in these luxurious offices acting as the face of the company, therefore the role will suit a professional, polished and well presented individual. You will be people focused, always willing to go above and beyond to provide an exemplary service to clients. You will provide support to the HR and Operations divisions where you will manage all aspects of running the office and the operations within it.
Key Duties:
Solely responsible for the reception area by providing a fantastically friendly, enthusiastic, positive and proactive client service
Welcome clients giving them an excellent first impression and ensuring they are comfortable during their visit
Maintain door security in accordance with GDPR, signing in of visitors and reporting any suspicious activity to the GDPR Compliance Team
Answering telephone calls and forwarding them on to the relevant individual
Manage the meeting room diary so you are able to best support clients and colleagues
Recognise the client needs in order to support them best. This may involve identifying resolutions and directing the client to the best person to provide support
Organise and maintain all meeting rooms ensuring you provide the best experience providing refreshments and/or catering as and when appropriate during meetings
Oversee stock of client refreshments and advise when a restock is required
Open, sort and distribute the company's post with discretion
General administration assistance
Sending out introducer letters with relevant payments
Reconciling bank transactions within the relevant accounting software
Monitoring and paying invoices
Instructing the payroll and making the relevant pay transactions
Maintaining the advisers' capital accounts with all the appropriate commission splits and applying the relevant deductions for each of them in terms of lead costs, paraplanning fees, networking costs, and associated marketing costs
Keeping the relevant finance and referral spreadsheets updated and actioned accordingly
Helping to manage all operational sides of the business, the office building and the fixtures, fittings and contents within them
Helping to manage the IT and phone systems
Assist the Leadership Team with administrative tasks
Ordering stationery and office essentials for the whole companyExperience, Skills & Knowledge:
Professional and presentable
High personal motivation, organisational skills and the ability to manage your own workload
You must be proactive, tenacious and show initiative
The ability to communicate confidently, clearly and effectively at all levels
The ability to work closely and build excellent relationships with all colleagues
