I am recruiting for an experienced Office Manager to also work as a PA to Director to work in Leicester as the PA you will provide secretarial, administrative and clerical support and personal assistance to Managing Director and Group Chairman
Working a 40 hour per week 9.00am till 5.30pm Monday to Thursday and 9am to 4.30pm Fridays
As the Office Manager your duties will include
Providing a high-level secretarial service which will include organising meetings, minute-taking and producing documentation in a timely manner and drafting correspondence in relation to standard requests etc.
Support the MD, Chairman and wider Senior Management Team as and when required on a variety of daily tasks to ensure smooth running of business
General Reception Duties: to act as 'front of house'; undertaking activities such as filtering telephone calls, receiving letter/documents, correspondence and messages, and responsible for ensuring information is forwarded to the appropriate staff in an efficient and timely manner. Greeting visitors, organising the Boardroom in preparation for meetings.
Full access to MD's emails to manage various inboxes, highlighting any urgent emails or urgent actions arising from them
To be responsible for the MD's diary including arranging travel arrangements, scheduling of internal and external meetings, planning and (preparations of events, as required)
To produce/prepare documentation in a variety of formats including Word, Excel, PDF, PowerPoint and other reports including confidential material
Provide a professional, supportive and customer-oriented service to support MD and wider team; acting as the first point of contact for visitors
Maintain an accurate and efficient electronic and paper filing system and be responsible for records management
Monthly credit card purchases: keep a record of receipts for any credit card purchases and submit monthly expenses to Finance Department
Arrange room bookings, organise hospitality and order beverages/stationery supplies, as required
Organise and prioritise work efficiently to ensure smooth running of own work on a day-to-day basis, including identifying opportunities to improve administrative procedures and taking the initiative to suggest ways of working more efficiently
