This is an exciting role with great promotional opportunities for a Sales Support Administrator
Based in Hinckley
The role:
Working with the sales team, undertaking the day to day activity of Contract and Wholesale Clients, managing all administration tasks from sample approval through to production and dispatch.
Liaising with the client contacts as necessary.
Bring to the Sales Team attention any requests that the client may raise which would require further discussion and advise on any new products and designs that the client may be interested in developing.
Working with the Sales Team in actioning any administration requests made from supplying samples through to the processing and invoicing of orders.
Working under the direction of the Sales Team undertake the administration of their assigned accounts.
Contract Accounts - action accurately and promptly client requests
Obtain samples, lab dips, lab reports and any other activity required to secure approval from the client
Raise the purchase orders to stock control to be scheduled for production
Manage the critical path for the product, from production to dispatch.
Update the client with product technical information as requested.
If required accompany the Relationship/Sales manager to visit the Client to build and maintain a good working relationship
Ensure that all packaging and finished product requirements are produced
Work with the warehouse to ensure that delivery deadlines are met.
Raise Invoices and update the stock control / accounts system on completion of the order.
Work with the accounts team to resolve any financial queries.
Wholesale accounts respond to queries as they arise, actioning any administration tasks.
Process all customer orders on to the sage system, raising the necessary paperwork to instruct the Warehouse to pick and pack. Checking data accuracy on all orders
Extract from the Website, daily orders placed and process. Action any new customer account applications.
Liaise with Customers, Relationship/Sales Managers and Warehouse team to resolve any issues with stock, customer requests or any other matter that may affect the customers requests not being met.
Maintain and update spreadsheets and reports, distributing the information in a timely manner to keep all relevant parties informed.
Complete the sales paperwork process by raising invoices and credit notes, adjusting the stock records. Applying refunds. Raising account statements as required
Respond to customer enquiries and complaints via phone and email, taking the appropriate action in a manner that ensures the customer received excellent customer service. Communicate important feedback from customers internally
Work in a proactive way to provide samples and collateral required by the sales team, chase and manage outstanding actions.
Provide the Marketing team with feedback from customer comments to help improve our website and social media presence
Provide Marketing with feedback on any response or activity that has happened because of campaigns actioned
General office Administration:
Manage and book Couriers and Transport for the dispatch of Retail and Wholesale orders.
Answer as the first point of contact all incoming calls, transfer or take messages as required.
Order and maintain the general stationary requirements for the office
Under supervision work with an internal sales person to assist them with administration tasks when they are particularly busy.
COVID-19 considerations:
All warehouse staff to wear masks, temperature check every morning. All staff work within own designated areas. Social distancing. Hygiene and cleaning rota is in place daily.
