Office Angels are currently recruiting on behalf of a not for profit organisation for a Central Support Administrator to provide administration and front of house support.

The role will be for a period of 3 months to help the organisation through a busy period and therefore it is essential you are able to commit to the entirety of the contract.

This is a fantastic opportunity to join a friendly and dynamic team predominantly to provide customer service and administrative support to the organisation. The successful candidate will have an excellent working knowledge of business support and should be able to proficiently use MS Office packages.

Key responsibilities:

Dealing with all incoming calls in a prompt and professional manner

Greeting, welcoming, directing and announcing all visitors and calls (with social distancing in mind)

Answer, screen and forward any incoming phone calls while providing basic information when needed

Receive and sort daily deliveries/mail/couriers

Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)

Keying accurate information into the client database

Diary management & organising travel arrangements

Maintain strict confidentiality in relation to all tasks

Reporting on sensitive subjects and acting in a timely manner

Ensure data is up to date and readily available

Ensuring site H&S is adhered to & highlight any risks to management

Providing reactive business support to the central and field-based team

Organising PPE deliveries and managing stock levels

Perform other general administration tasks such as filing, photocopying, collating, etc

Maintain inventory of office stationery

Key skills:

Have previous experience of running a busy reception area

Understand the Health & Safety procedures and set an example to other staff members

Have an excellent telephone manner in addition to being articulate and courteous

Provide a friendly welcome and create an excellent impression of the client's organisation

Have the ability to multi-task and be flexible in approach to daily duties

Intermediate IT skills i.e. Windows, Excel, MS Outlook,

Ability to work as both a team member and in a stand-alone position

Strong initiative and proactive working manner

Previous experience of dealing with sensitive information

Knowledgeable of GDPR regulations This is a full-time role Monday to Friday - 8.00 - 17.00.

The ideal candidate will be experienced in dealing with sensitive cases, knowledgeable in Data Protection legislation and will be able to work to strict confidentiality guidelines.
