Job Details

To be responsible and accountable for all administrative tasks within the Commercial Department which support order processing and delivery of goods (both incoming and outgoing), to ensure that customer service levels are maintained at the highest level.

The Role:

Undertake full ownership of administrative tasks within the Commercial Dept. This includes processing customers' orders and amendments, updating the forecast model and ensuring all commercial information is accurately entered on to the company ERP system in a timely manner.
Coordinate logistics of imported produce deliveries from different growers/countries to agreed delivery points worldwide, in conjunction with the Transport Dept. and S&A's import agent; ensure that all relevant information is entered on to the company ERP system in a timely manner and that all relevant documentation is received. Due to time differences, this may include outs of hours intervention.
Liaise internally and with contracted supplier management regarding terms of deliveries and processing of payments to our worldwide fresh produce suppliers; ensure that all relevant information / purchase orders are entered on to the company ERP system in a timely manner.
Update / communicate information with regards to arrivals, stock levels and sales, ensuring that the forecast model is updated at all times.
Advise Account Managers with regards stock and variety availability and propose where it should be allocated.
Update and issue customer price lists and maintain the price lists within the company ERP system.
To be the first point of contact for customers in the absence of the Account Manager and provide customers with requested information in timely and professional manner.
If appropriate, translate or arrange translation of relevant documentation.
Complete the returns process, which requires intervention on all returns from Chile and other locations as required.
Ensure that all relevant information is communicated to all involved in a timely manner; deal with any internal/external queries than may arise.
Packaging Coordinator duties: provide cover for the Packaging Coordinator role, as required.

Attributes:

Communication: selects appropriate communication method based on the needs and sophistication of the target; able to communicate effectively, remain calm under pressure, always courteous and helpful. Ability to communicate effectively in Spanish an advantage, but not essential.
IT Skills: strong IT skills and a proficient user of MS Office software; familiarity with ERP systems
