Medical Secretary, GP surgery based in Bidford, salary up to £12.50 per hour dependent on experience
The Practice:
The Practice located near the semi-rural village of Bidford on Avon and within easy driving distance of Stratford-upon-Avon, Evesham or Alcester, is a large, modern and purpose-built health centre with plentiful on site and free car parking. The health centre incorporates a dispensary and many additional health services are provided on site. You will join a friendly and caring team dedicated to our local population.
This practice continually strives to improve work processes which deliver health care with improved results across all areas of our service provision. We promote a culture of continuous improvement, where everyone counts and staff are permitted to make suggestions and contributions to improve our service delivery and enhance patient care.
We are now looking for a Medical Secretary to be able to assist with and be responsible for a wide range of medical secretarial and administrative duties and the provision of administrative support to the clinical team.
Previous experience within a GP Practice would be an advantage but is not essential. Duties can include, but are not limited to, audiotyping, the processing of information (electronic and hard copy) in a timely manner and liaising with both clinical and non-clinical team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the NHS e-referral service (e-RS).
We will consider the role to be a part-time or a full-time role with days and hours to be confirmed. There will be a requirement to work flexibly and provide some additional cover in the absence of the other secretary.
The successful candidate will be entitled to join the NHS Pension Scheme.
Medical Secretary Main Duties:
- Typing letters, reports and associated documentation as required.
- Liaising with external agencies, such as hospitals and community services ensuring referrals are processed efficiently.
- Managing all enquires in an effective manner.
- Maintaining an accurate referrals database.
- Actioning all incoming communication and correspondence.
- Processing call and recall letters as requested.
- Scanning patient related documentation, inputting data and attaching scanned documents to patient’s healthcare records.
- Processing referrals using the electron referral system (e-Rs).
- Processing requests for information i.e. SAR, insurance / solicitor’s letters and DVLA forms.
- Recording data on the clinical system.
- Answering incoming phone calls and dealing with the caller’s request appropriately.
- Managing all administrative queries as necessary.
- Carrying out system searches as requested.
- Maintaining a clean, tidy, effective working area at all times.
- Supporting all clinical staff with general administrative tasks as requested.
Medical Secretary Necessary Skills, Qualifications and Experience:
- Previous experience in a similar role is essential.
- Previous experience working within the Health care sector is desirable but not essential.
- Educated to GCSE Level or equivalent.
- Excellent communication skills, both oral and written.
- Knowledge of EMIS Web clinical computer system is desirable but not essential.
- Computer literate, including the Microsoft Office Suite and audio typing.
- Ability to work on own initiative, using your own judgement, and as part of a team.
- Reliable and able to work under pressure.
- Good interpersonal skills.
- Excellent time management skills.
- Understanding of the need for professional confidentiality.
