Public sector client based in Brighton looking for a PA to join their team on an interim basis.
Description
The key responsibilities of a PA are:
To act as the first point of call for Non-Executive Directors providing an effective and efficient business administration
Deal efficiently and professionally with queries via telephone and e-mail, providing comprehensive assistance and advice, filtering work by managing anything that can be resolved without reference to the Company Secretary or Deputy Company Secretary by forwarding to the appropriate person as necessary.
Handle and communicate complex and highly sensitive queries and information with the up most discretion and ensuring confidentiality at all
To work closely with the Company Secretary, Group and Trust Directors and Executive Assistants to establish appropriate and effective communication systems to ensure that deadlines are met and actions are tracked and delivered on time
To pro-actively manage and keep the Board and Committee diary up-to-date in a timely manner; coordinating, planning and prioritising meetings and teleconferences to maximise effectiveness and ensuring that there is effective communication to all relevant parties. Making decisions about priorities and balancing conflicting requests.
To make all the necessary arrangements including travel, room bookings and equipment needed when required for meetings
Maintain a strategic overview and forward agenda plan for the Board of Directors and associated committees as required, ensuring that agendas and papers are produced in an agreed high quality format and distributed in a timely way and to deadlinesProfile
Comfortable with PowerPoint and Word
Has worked in Public Sector previously
Calm and very organised
Comfortable with typing under pressure and for long periods of time (minute taking in long meetings)
