Job Role: Executive Assistant

Hours: Monday to Friday, 37 hours per week, Team rota to cover between 8:00am - 6:00pm Monday - Thursday, 5:00pm Fridays

Contract: 3 month temporary contract with permanent job prospects

Pay: Up to £15.33 per hour (DOE)

Office Location: Wolverhampton City Centre

Office Angels are delighted to be working in partnership with a local public sector client who are currently seeking to appoint an Executive Assistant to work on a 3 month temporary contract with the potential to transfer onto a permanent contact after a probationary period. The Executive Assistant is a key member of the Executive Support Team;. you will be required to provide efficient, accurate and confidential executive support and co-ordination to the Strategic Executive Board and the wider senior management team within the Business Change division. This role is ideal for an individual with a proactive approach, ability to multi-task, proficient with prioritising and exposure of working to strict deadlines.

Responsibilities will include:

Managing and delivering the preparation of correspondence, including highly confidential and sensitive items
Diary management for board members
Organising complex and detailed travel plans to meet changing needs
Managing all incoming mail, telephone calls and transferring of messages
Preparing agenda's and briefs for events and meetings
Acting as a central point of contact for strategic board members
Proactively identifying alternative meeting arrangements on behalf of strategic board members to make room for key priorities (where required)
Monitoring of members inbox, ensuring that routine inquiries are dealt with in consultation with the relevant officers
Identifying and actioning any requests / issues to resolution, escalating where appropriate
Preparation of meeting papers advance of team meetings
Handling incoming requests with highest level of speed, accuracy, presentation and confidentiality
Identifying, drafting and typing all routine and ad hoc correspondence and reports
Creating action plans and follow-up outstanding issues
Preparing background information, collate information into reports, produce statistics
Creating and manage databases required to support board members
Preparing meeting agendas, take, produce and circulate accurate actions/decisions of meetings - full minutes as identified.
Creating and design visual aids/presentations
Utilising internal system to carry out any necessary activity including; manage orders/requisitions and maintain budgets as appropriate
Working collaboratively with other employees within the Executive Support team.
Assisting with the interviewing and selection of administration staff. Skills / Experience Required

Previous Secretarial, Personal Assistant or Senior Administrative support to senior management level
Project Management Experience (advantageous)
Ability to use Microsoft Office; including Word; Excel, PowerPoint, OneNote and Outlook
Competent Diary management and Minute taking experience
Experience of handling confidential information
Ability to work on own initiative, to respond quickly, appropriately and communicating clearly in relation to urgent/important matters
Ability to maintain effective communication networks at all levels across the organisation
