As the Project Coordinator, you will support the Group Technology Manager, Senior Project Consultant and Project Consultants on all aspects of project delivery, including: project control, procurement and commissioning and handover Technology Project ensuring customer excellence and project compliance is achieved.

Duties and Responsibilities

Support the Technology Projects team within a number of typical project management functions: change management, risk management, planning, resourcing, co-ordination of the design process, oversee and manage the control of the project (both pre- and post-signoff).
Arrange and run Project Handover Meetings - capturing actions and following up with the relevant parties.  Ensure all documentation signed and accepted.
Process Sales Order received from the Technology Sales Team – assist with checking that products, labour, quote and PO are correct before converting.
Draft and update project control documents – Budget Tracker and RAID Logs
Procurement – check pricing, quotes and PO are aligned, sending requests for kit and monitoring delivery dates
Arrange access equipment to and from sites
Assist with planning - draft project plan/tickets, assign budgeted hours and extract information from SoW within ConnectWise system for Technology Projects
Drafting Gantt charts (Excel) to create a visual project plan if required
Schedule installations with clients
Co-ordinate the effective resourcing of projects
Using IT or other systems to keep track of people and progress
Project reviews with technical lead to monitor overall progress against schedule and deliverables
Coordinating the project team to keep them on track and keeping the project in budget
Monitoring outstanding project tasks and chasing for update/completion
Assist with identifying and managing risks and recording of these
Maintain ownership of the current list of projects and their status, raising any concern of potential project risks or issues
Monitoring budgets and time-recording to assist with project reporting
Completion of Risk Assessment Method Statements before site visits and ensuring completion and signature by Senior Project Consultant
Ensure all project Applications are completed and processed before or on their due date of all Technology Projects
Issuing monthly variations and applications for large projects inline with the company procedures
Process supplier and sub-contract invoices for Senior Project Consultant / Group Technology Manager to sign off for accounts to pay
Support and develop close collaboration between the Sales Team, Onsite Team and Service Desk Team
Maintaining effective communication and working as a proactive team player to ensure all information is available for the successful completion of projects
Representing the company in a professional and diligent manner; meeting, negotiating and corresponding with clients and stakeholders to form strong working relationships
Improve everything we do continuously in order to consistently exceed customer expectations, improve efficiencies and drive down costs.
Develop and maintain operational standards and procedures to ensure appropriate project governance
Provide advice and assistance to project team and other departments to support adherence to project processes
Create O&M Manuals and issue to customer upon completion if required
Initiate lessons learned meetings including evaluating successes and challenges to enhance learning for next project
Maintain lessons learnt central register
Achieving completed projects once all projects paperwork is received and signed
Maintaining the project shared drives (SharePoint) and business management system (Connectwise)
Ownership and manage small scale projects or self-contained phases of larger projects 
Assist in creating user guides, training aids and customer facing project documentation
Process CAD requests from Project Consultants to CAD
Arrange training for Technology Projects team
Assist with HR records for the Technology Project staff
Book accommodation and travel for Project Consultants
Contribute and support of the Project Consultants documentation
Any other duties specified by your line manager
KPIs and Measures

1. Applications sent on time in line with project dates
2. Manage the Project Handover to support at least 7 days after project completion
3. All Project documentation is up to date
4. Prepare your Personal Development Plan before every review meeting

Qualifications

Will have over 1 years’ experience working in IT Service role or Co-ordination role
Excellent organisational skills
Ability to demonstrate initiative and a proactive approach to daily tasks
Flexible approach and willingness to try new tools/techniques/methods
Excellent communication skills, written, over the phone and face to face
General good IT literacy and ability to use most standard Microsoft packages
Project Management Training e.g. PRINCE2
