Job Details

The role is responsible for the set up and delivery of project and programme management processes for key strategic initiatives, working with colleagues across the business to facilitate transformational change in the delivery of the strategic plan. The initiatives by their nature will typically be large and complex, involving significant people, process and technology changes. Strong stakeholder management and the ability to demonstrate the value of utilising methodologies, without allowing programme and project management to become the project, will be key to keeping stakeholders engaged and supported.

Key Responsibilities, Accountabilities or Duties

General

Have an understanding of, and commitment to, promote the businesses policies and procedures
To maintain confidentiality and information in line with data protection requirements and policy
To support other legal compliance activities such as health and safety requirements, including having an awareness of personal responsibilities to maintain a safe working environment
To provide cover for other core team administrative posts during periods of leave or vacancies
In all duties act proactively to a high standard and acting with the utmost professionalism, discretion, and ensuring confidentiality

Operational

General Administration

To work as part of a pro-active team to provide administrative support to the SCO in conjunction with other team members
Book travel and/or accommodation via Egencia
Arranging meetings
Organise and manage inductions for new starters and other events run by the SCO, including stakeholder engagement events
Support for a range of general activities e.g. teleconferencing and Skype meetings, hosting external visitors
Prepare AV materials including the use of packages such as PowerPoint
Supporting the creation and administration of the SCO websites

Project/Portfolio related support

Support colleagues in the SCO in developing and maintaining effective reporting and monitoring processes in effectively managing projects with the Programme
Organize project-related meetings such as Project Boards, workshops, stakeholder &engagement events, including arranging catering, room bookings and set up

Document key project and portfolio board minutes, obtain the relevant approvals and manage the distributio
Document and analyse project workshop outputs on behalf of the project manager
Managing project risk, action, issue and decision logs ensuring they are up to date and actions are chased
Provide administration services in relation to updating project artefacts and templates, including config. management and information governance
