Facilities and H&S Manager

30 / 35 hours per week

Responsible for the management of services and processes that support the core business of the organisation, ensuring security procedures are followed at all times. Actioning and applying all Health & Safety responsibilities as outlined within the H&S Policy, ensuring due regard is given to all health and safety related matters.

Main Duties and Responsibilities

to ensure the premises and procedures meet health & safety requirements
to ensure that all systems are regularly maintained and tested in line with regulations, maintaining appropriate records
to ensure all service records are accurate and up to date
to ensure that all policies and procedures are in place and that they are accurate and up-to-date
to comply with all legal responsibilities and relevant Codes of Conduct
responsible for heating lighting and air-conditioning systems ensuring regular service is carried out as required
to undertake maintenance and repairs within capability, respond effectively and maintain a log of such works
to maintain a list of suppliers and key contacts and to maintain good relationships with each
to liaise with external contractors where required including the management of works undertaken
to ensure quotes are obtained before any works are undertaken in line with the procurement & tendering policy.
to undertake all gardening duties as required
to undertake routine inspections of all of the premises including daily maintenance checks maintaining records of all such checks
to ensure that any office moves are carried out in a safe manner
to ensure risk assessments are carried out prior to any works being undertaken
to undertake and document a fire risk assessment of all of the premises and maintain the fire log books
to be aware of and maintain a plan of the location of essential services including water isolation valves, fire points, drainage systems, gas and electricity power supplies and fire control panel
to be aware of and maintain a plan of the location of alarm points and panic alarms
to review on at least a monthly basis the water log book
as the designated Fire & Security officer to ensure that all systems are regularly maintained and tested and appropriate records kept
to order replacement stocks of all cleaning consumables
to assist your manager in setting the premises budget
to operate within pre-approved budgets
to be responsible for efficient management of the energy costs
to review and recommend changes to the Health & Safety Policy Statement on an annual basis
to ensure all employees are aware of the required health & safety standards
to provide induction training on security and health & safety, including H&S employee handbook, DSE & medical questionnaire, to new members of staff
to ensure staff are adequately trained fire wardens and first aiders at all times and across all premises
to act as the main point of contact with alarm call outs 24/7
to maintain a list of key holders
to dispose equipment in line with health & safety regulations
to work in partnership with IT on the installation of communications / telecommunicationsGeneral Responsibilities

Comply with all relevant Conduct Rules
to comply with a safe environment for both staff and customers
to attend training courses as appropriate for this role to ensure job and personal skills are maintained to the satisfactory standard
