An Administrative role has come out over in Sheffield with the NHS! This is the perfect opportunity for an NHS administrator who is currently out of work or looking for a new contract better suited for themselves!

Principal Duties

Provide a high quality personal assistant service to the Associate & Deputy Directors and efficient administrative support within the overall Directorate.

Tasks will include:

*Using the full Microsoft Office suite including Word, Power Point and Excel packages.
*Use of Insight patient information system to check details as required/requested.
*Audio/copy typing - this will include reports and dealing with highly confidential, potentially sensitive information about staff or service users.
*Set up and maintain efficient filing systems, electronic and paper. Manage a bring-forward system for the Associate & Deputy Directors to ensure prompt handling of correspondence and enquiries.
*Receive, screen and make telephone calls. The post holder will be expected to resolve queries wherever possible, taking messages or redirecting calls as appropriate and ensuring that timely action is taken.
*Record and brief the Associate & Deputy Directors of issues whilst away from the department.
Planning & Time Management
*Support meetings chaired or attended by SOMs as requested and to be sensitive to the issues under discussion, preparing notes/agendas and taking minutes. Meetings may involve internal and external participants.
*Organise meetings, booking rooms/venues, arranging hospitality etc.
*Maintain an electronic diary and appointment system for the SOMs as reuired by individual SOMs.
*Assist in the completion and processing of study leave and annual leave applications.
*Administrating travel records, claims and administration of staff mileage claims.
*Completion of relevant e-forms on behalf of the SOMs/wider Management Team
Management/Human Resources
*Maintain a flexible and responsive approach to tasks whilst self-directing workload through careful time management within broad procedural guidelines.
*Information/data gathering for governance & performance purposes, for example maintaining and tracking compliance with mandatory training for the Directorate.
*Provide cover for other Band 3 Administrators, ensuring a consistent level of support for the service is available at all times.
*Demonstrate activities and provide support for newer or less experienced members of staff within the team.
