Executive Assistant to MD – Part time  / Full time considered

Salary £24,000 FTE

Will consider full time / part time 30 hours per  week with flexible hours 9.00 am - 2.30pm. 

Salary negotiable depending on experience but is expected to be in the region of £24,000 FTE.  25 Days holiday, free parking, working with a fab team including the office dog.

The Role

The Executive Assistant will support the Managing Director of a rapidly expanding and growing business.

This is a small entrepreneurial business, in which you will often have to think on your feet and implement processes. Managing a busy in-box and busy diary you will be able to keep ahead of the game and not get flustered.

Therefore, someone who enjoys this kind of culture and enjoys being the go-to person will do well.

The successful candidate will be responsible for a wide range of tasks and responsibilities and it is an opportunity for a candidate with the right skills and most importantly the right attitude, to really make this role their own.  This is within a small team and the office is based in Shirley, Croydon in a private residence.  The successful candidate must be a good team player with a flexible can do attitude.

Responsibilities:

  • Manage and maintain the diary of the MD, ensuring appropriateness of appointments and being mindful of other workload commitments.
  • Monitor and manage emails.
  • Organise, flights accommodation and local travel.
  • Provide a full travel itinerary, including flights, transport links/times, locations and people meeting.
  • Attend meetings, take minutes, with actions, distribute, and follow up.
  • Prepare reports and presentations.
  • Processing orders
  • Occasional overseas travel to Cannes and other destinations
  • Finance duties – quarterly VAT, updating on Xero database on a regular basis (training will be provided)
  • Ad hoc duties and admin support as and when required within the small team
  • Occasional cover for the Commercial & Supply Chain Co-ordinator, to include stock management, driving the Company Van, responsible for deliveries to London Gatwick, London Heathrow and the UPS Depo

  • Ability to work on own initiative and prioritise workload
  • Excellent accuracy and attention to detail
  • Self motivated
  • Computer Literate –Good working knowledge of Microsoft office is essential
  • Clean Driving Licence
  • Honest and Trustworthy
