What we are looking for:
Essential:
An experienced Executive Secretary / Office Administrator with
- Excellent verbal and written English Language skills
- Meticulous attention to detail
- Able to communicate politely appropriately, effectively and professionally at all levels
- Able to multi-task effectively
- Able to remain calm, effective and efficient under pressure
- Discrete and completely confidential
- Highly organised
- Good IT skills able to effectively use Microsoft Office: Word, Excel, PowerPoint, Outlook and internet.
- GCSE grade C or above in Maths and English or equivalent
- Good level of numeracy
- Working knowledge of GDPR
- Highly motivated and achievement orientated
- Very willing, flexible and adaptable.
Desirable:
- Secretarial and / or Administrative qualifications

The Role:
The Executive Secretary / Office Administrator provides secretarial and administrative support to the Executive Team, and provides general support to Central Services reporting to the Head of Corporate Affairs / Company Secretary.
Responsibilities:
1. Providing Secretarial support to the Executive team, including:
- Maintaining effective office filing systems
- Arranging travel, visas and accommodation for the Executives as/when required Arranging travel, visas, accommodation and catering for corporate visitors
- Managing phone calls, enquiries, incoming mail and handling them when appropriate
- Organising and managing diaries and making appointments as directed
- Liaising and communicating a range of documents, briefing papers, reports and presentations
- Organising meetings, typing up and distributing agendas and any other advance correspondence, attending meetings and taking minutes as required
- Meeting and greeting visitors at all levels of seniority
- Effectively liaising with clients, suppliers and other staff.
2. Providing general office administrative support, including:
- Providing general office administrative support, with particular responsibility for routine stationery and equipment ordering
- Undertaking DSE risk assessments for all new starters, maternity cases, and staff experiencing any issues related to their work station
- Health and Safety Training for staff volunteering as Fire Wardens and First Aiders ensuring their certification is up-to-date and that leavers are replaced
- Working closely with HR to assist in the administration associated with routine corporate events.
