Part Time Secretary - Chingford (E4)

2 to 3 days a week

9.30am til 2.30pm

This is a fantastic opportunity to join our growing team of c16 employees at our offices in Chingford, East London. Our firm provides accountancy services to our client base growing in number now above 800 individuals and companies. Our clients range in size across all different industries.

The role of Part Time Secretary:

To provide secretarial and administrative support to the Partners and company as a whole in order to optimise work flow procedures in the office.  You will assist colleagues and partners by supporting them with planning and distributing information.

You will be the point of reference for all queries, requests or issues and will be an integral part of the company’s workforce.

The successful candidate will demonstrate good communications skills, be organised and proactive, client focus and teamwork with excellent attention to detail.

Responsibilities:

  • Answering calls, taking messages and directing queries
  • Answering intercom system when people arrive at the front door
  • Acting as a receptionist and meeting and greeting clients
  • Typing dictation from Stephen Lesser into emails and letter format
  • Maintenance of filing system including general and client information
  • Develop and maintain filing for all limited company jobs
  • Scanning and emailing correspondence in respect of overseas clients
  • Opening post and distributing internally and forwarding on to clients where necessary
  • Taking payments via card machine and by telephone
  • New clients – letters, forms and other administration where necessary.
  • CCH –  adding new client, updating new addresses / contract details, adding Associations and any other data input for clients
  • Managing and collating new client files
  • Sending internal and external emails
  • Sending of SA302 and tax year overviews (preferably via the portal)
  • Managing stationary supplies and ordering when necessary
  • Responsible for sending emails to clients
  • Responsible for sending and receiving facsimiles
  • Sending out letters and fee notes to clients by mail and Portal
  • Arranging internal and external meetings for Partners
  • Other ad hoc tasks as requested by the partners

Essential Skills:

  • Good working knowledge of MS Office including Excel and Word.
  • Excellent attention to detail
  • Good accurate typing including audio
  • Excellent communication skills
  • Ability to build relationships with colleagues and clients
  • Ability to manage the day to day running of the office
  • Highly organised and motivated
  • Able to deal with confidential / sensitive information
  • Ability to work off own initiative
  • Flexible can do attitude

 

Hours will be 9.30 to 2.30, 2-3 days a week with some flexibility.
