Supplies & Assets Assistant

Salary:  £20541 - £23866 per annum

Grade 3 (Permanent)

Location – Service Headquarters, Calcot, Reading

Royal Berkshire Fire and Rescue Service (RBFRS) provides cover 24 hours a day, 365 days a year from 18 fire stations across the County. We are responsible for an area of around 125,914 hectares, from Slough and Langley in the east to Lambourn and Newbury in the west. We employ more than 600 uniformed and support staff who serve a population of approximately 860,000 people.

Reporting to the Supplies & Assets Manager, the Supplies & Assets Assistant is responsible for coordinating the ordering, dispatch and collections of goods and/or services requested by customers within the organisation. You will be the first point of contact for many enquiries and requests that come from across the organisation.

The Supplies & Assets Assistant will provide administrative support to the Supplies & Assets Manager in relation to both supplies and assets workflows. This will include but not be limited to database management, order requests, customer communications, supplier administration, financial administration (e.g purchase orders). They will also assist in the review of performance of all suppliers, contractors to ensure that contractual compliance is achieved and that operational capability is not put at risk.

The Supplies & Assets Assistant will be experienced in administration and have excellent customer service and communication skills. An understanding logistics processes and being able to forward plan would be of great benefit to the role.

The key focus of this role is:

  • Record and process all orders and collections, including arranging the logistical requirements where necessary
  • Ensure robust and accurate administration of all orders/requests and deliveries/collections
  • Act as the main point of contact for internal customers, suppliers and contractors for the goods and services covered by the role on a day to day basis
  • Ensure that goods and services ordered are delivered in a timely manner, communicating any delays in delivery to requester.
  • Responsible for managing your own workload so that tasks are fulfilled efficiently and time is utilised effectively
  • Work with internal teams to source the correct required items for all operational uses
  • Responsible for the recording of Purchase Orders and the receipting of goods is carried out in a timely manner
