Highclere Castle has an exciting opportunity for a full time Public Opening and Events Assistant.

Highclere castle has become well known as the location of the successful TV series Downton Abbey and attracts thousands of visitors and many events throughout the year. Highclere is also a working estate with its own farming and property management businesses.

This is a varied role with the main responsibilities including and not limited to: working with the Public Opening Manager on both public open days and events, overseeing the visitor experience, managing group bookings, data inputting into our CMS system and invoicing when required, website testing, diary management, sales and bookings, telephone and written enquiries and general customer support.

The ideal candidate will be an enthusiastic, well organised, and self-motivated person who will work well as part of a team in a busy office environment. It is essential that the candidate has good communication skills, both written and verbal, and is confident and competent working with a variety of computer software. Involvement in visitor experience, or having a previous public facing role would be desired. They will be required to work public holidays and weekends during the busy public opening season which runs through the Spring and Summer months.

The successful candidate will be joining a wonderful team that are enthusiastic and passionate about the beautiful place and heritage of the Castle. 

Duties include:

  • Working with the Public Opening Manager on the following opening and events: Spring and Summer Public Opening, Winter Castle Opening, Sing for Peace, Script to Screen week in May, The Easter Egg Hunt and other events.
  • Working closely with heads of departments, including the Head Guide to ensure the smooth running of the public open days and events.
  • Providing Visitor Reception and the Head Guide with details of each open day, including group lists and other requests.
  • ‘Walk arounds’ prior to openings to ensure the Castle, Exhibition and Gardens are safe and suitably presented for visitors.
  • Focusing on the visitor experience and making sure written information and signage is up to date.
  • The main contact for group booking enquiries and liaising via the CMS booking system.
  • Providing groups with suitable images and providing copyright details.
  • Overseeing the sale of admission tickets and Afternoon Tea sales and enquires.
  • The first port of call for first aid when open to visitors.
  • Liaising with appropriate contractors regarding the design and printing of relevant leaflets for openings.
  • Liaising with Marketing on any website changes and having up to date training with the website operational system.
  • Occasional work on Social Media including the Twitter and Facebook pages.
  • Providing the IT department with the marketing materials such as event and ticket wording, pricing and figures for events.
  • Working closely with the IT Department with regards to website testing prior to ticket release.
  • Marketing and overseeing the sale of tickets via the CMS.
  • Dealing with a high volume of telephone and written enquiries to ensure all customer enquiries or complaints are responded to within a reasonable time period and dealt with efficiently and professionally.
  • Working with the Public Opening Manager to collect and compose public opening and related event figures and dates for the years ahead using Excel. Using this information to decide future figures for public opening and events.
  • Working closely with the Event Managers working in the same office to provide relevant support when required.

The role will require a general willingness to work as a team member and assist with any tasks that might reasonably be requested.

 Qualifications and experience required for this role:

  • Previous experience in a similar role desirable
  • An interest in gaining a good knowledge of the history of the Castle in order to provide assistance with guided tours or cover guides during public opening if required.
  • First Aid and Fire Safety trained
  • Experience in uploading and managing content to Social Media sites desirable
  • Ability to prioritise, manage own workload and work under pressure
  • “Can Do” attitude
  • Strong communication skills, both verbal and written
  • Able to work to deadlines and to be adaptable to change
  • Enthusiasm to provide the highest quality service at all times
  • Good knowledge of CMS/Database systems for data inputting and dealing with IT issues and invoicing.
  • Good diary management.      
  • Computer literate with sound knowledge of Microsoft Office, including Outlook, Word and Excel to perform required tasks.
