Job Description:

The client is seeking a highly organized and proactive Administrative Coordinator to join our team. The ideal candidate will be responsible for developing and maintaining efficient administrative, filing, and electronic systems, ensuring smooth operations within our department. The role requires meticulous attention to detail, excellent communication skills, and the ability to handle sensitive information with confidentiality.

Key Responsibilities:

  1. Develop and maintain efficient and user-friendly administrative, filing, and electronic systems, including system housekeeping tasks.
  2. Organize, attend, and produce accurate minutes for a range of meetings, maintaining a high degree of confidentiality for all handled information.
  3. Coordinate the collection of incoming/outgoing correspondence, promptly referring and dealing with urgent matters.
  4. Raise and complete invoices and recharges when required, including the raising and claiming of job tickets as appropriate.
  5. Book conferences, travel, and accommodation as needed, arranging staff conferences and briefings when necessary. Also, arrange Buffets and functions as required.
  6. Pursue progress on complaints, specific documents/issues, and requests for information.
  7. Ensure all queries are dealt with professionally, resolving matters or forwarding them to the relevant person.
  8. Proactively produce and follow up on actions relating to decisions made and actions agreed.
  9. Manage own time efficiently, undertaking relevant tasks and activities without constant supervision, while maintaining a positive attitude and professional demeanour.
  10. Coordinate, prepare, and arrange for the dispatch of agendas and reports, providing efficient word processing, minute taking, and typing.
  11. Intercept mail on behalf of Property Services, filter out to staff as appropriate, and ensure follow-up.
  12. Produce documents for the Property Services team as required, including but not limited to letters, memos, graphs, etc.
  13. Receive guests and telephone calls on behalf of the Property Services colleagues and managers in a friendly, helpful, and polite manner, maintaining a positive impression of the service.
  14. Liaise with members of South Tyneside Council as appropriate, fostering good working relationships with colleagues, internal and external partners, and stakeholders to deliver excellent services.

Qualifications and Skills:

  • Previous experience in a similar administrative role preferred.
  • Proficient in Microsoft Office suite.
  • Excellent organisational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Ability to handle confidential information with discretion.
  • Self-motivated and proactive attitude.
  • Attention to detail and accuracy.
