We operate an online job portal with the aim of providing a venue for work seekers to find and apply for job opportunities advertised by recruiters.  Our website is hiredonline.co.uk along with associated subdomains such as recruiters.hiredonline.co.uk

We take data protection very seriously and understand the importance of protecting your privacy and Personal Information. Personal Information is information that identifies you as an individual such as your name, date of birth, email address and CV.

 

What and how do we collect information from you?

We collect the majority of your Personal Information when you give us your CV, cover letter, complete application forms, complete registration forms or setup up job alerts on our website.

Every computer on the internet has an internet protocol (IP) address which is a unique number by which it can be identified. This gives no personal information about you but it does act as a virtual fingerprint for your computer. We may collect your IP address.

We may also collect Personal Information from cookies and other publicly available information.

We collect Personal Information which enables us to provide products and service.

When you apply for a job advertised by a recruiter on our website, you may be asked specific questions relating to that particular job application. This information will be collected by us, shared with the recruiter and will only be used for the purpose of that specific job application.

Consent:

There are occasions when we process your data with your consent. You have the right to withdraw your consent at any time. Where consent is the only legal basis for processing your data, we will stop when you tell us to do so. An example of this is when you setup a ‘job alert’. Job alerts are sent to you via email when a job is advertised on our website that matches your criteria. We do not setup job alerts automatically, instead you have to give us your consent to do so. You can stop job alerts from being sent to you via email by withdrawing your consent. Another example of where we rely on your consent is the sending of marketing material.

Contract:

We will process your data to fulfil a contract with you.  An example of this is when we send your CV to a recruiter in relation to a work opportunity you have applied to.

Legitimate Interests:

The processing is necessary for your legitimate interests or the legitimate interests of a third party unless there is a good reason to protect your personal data which overrides those legitimate interest.

 

Who do we share your Personal Information with?

Recruiters and agents

We make your Personal Information available to recruiters, agents, business partners and other intermediaries with the aim of helping you to gain work.

Service providers to Hiredonline

This includes third-party service providers who assist us in providing services to you. Examples include IT system providers, accountants and professional advisors.

Government authorities and parties involved in court action

We may share Personal Information with governmental or other public authorities as we believe to be necessary to comply with applicable law, comply with legal process, respond to requests from government authorities and to protect our rights, privacy, safety or property, and that of you or others.

Third parties

We will only share your Personal Information with third parties under contract or if you have given us your consent to do so.

 

What do we do with your Personal Information?

By using our website it is understood that work seekers are actively soliciting contact from prospective recruiters regarding work opportunities. If you are a work seeker we will therefore make your personal data available to recruiters and employers who use the website to find suitable people for specific roles that they are seeking to fill.

 

Applying for a job on a third party website (for example, via job boards such as Totaljobs, CV Library, Reed etc):

If you apply to a job advertised by Hiredonline on a third party website, we will forward your CV immediately to the recruiting company advertising it's opportunity with us. The recruiting company is then responsible for processing your application. This will include holding and sharing your personal data, our legal basis for this is legitimate interest subject to your declared interest in a job. You can contact Hiredonline by email (jobs@hiredonline.co.uk) and we will confirm the identity and contact details of the recruiting company.

 

Managing consent, updating or deleting your account:

You can manage consent given to us and access your Personal Information by logging into your account. Here you will find a privacy dashboard, which is an easily accessible single page from where you can update your marketing consent and CV visibility settings, or unsubscribe from all correspondence including job alerts. You can also delete your account from here.

Emails that we send to you based on consent given contain a secure link at the foot of each email which gives you the ability to unsubscribe to future emails or gives access to your account, where you can then manage consent settings.

 

For how long will we keep your Personal Information?

We keep your Personal Data for as long is as reasonable to provide services to you. You have the ability to delete your account at any time, however we will delete job applications made by you after 365 days of you making the application.

Within your account, you can create a ‘profile’ and opt to make this visible and searchable by recruiters. If you do not access your account for 365 days, we will send you an email reminder asking you if you would like your profile to remain on our records. If we do not hear back from you, a second (final) reminder is then sent to you after a further 21 days. You will then have 14 days to tell us that you wish to keep your profile, otherwise we will remove your profile. If your profile is removed, you will still have an account with us and you will be able to receive job alerts and apply for jobs.

Access to your Personal Information and correction

You can request a copy of the information that we hold about you at any time by sending your request to jobs@hiredonline.co.uk

We want to make sure that your information is accurate and up to date and are happy to remove or amend any information that you think is inaccurate.

Cookies

Cookies are small files placed on your computer to collect standard internet log and visitor behaviour information. We use Cookies as part of a normal business procedure to track patterns of behaviour of visitors to our sites. This helps us to interpret the anonymous statistical information on our users for purposes such as the better administration of our website and servers, and to improve our services.

We may make this aggregated information available to our commercial partners, to our advertiser clients and also to auditors. These statistics are anonymous and contain no Personal Information.
